Privacy Policy

1. Who we are and what this notice covers

This notice explains how YachtBooks, established in Türkiye, handles personal data when you visit yachtbooks.io or request a demo through it. We act as data controller under the Turkish Personal Data Protection Law No. 6698 (KVKK) and, where it applies to you, the EU General Data Protection Regulation (GDPR). It does not cover the YachtBooks application at app.yachtbooks.io, which has its own privacy policy shown when you sign up.

2. What we collect

We collect only what the website needs to work and to respond to you:

Demo request form

  • First and last name
  • Business email address and phone number
  • Company or yacht name and number of yachts
  • Country or region and preferred language
  • Your privacy acknowledgement and, if given, your marketing consent, with the time of submission

Collected automatically

  • IP address, browser and device type, and the pages you request, in our hosting provider's server logs
  • Your language choice, stored in a cookie
  • Cookie-free usage statistics such as pages visited, referring site, country and device type. Your IP address is used only to count unique visits within a day and is never stored

3. Why we use it and on what legal basis

Each use has a specific purpose and a legal basis under the KVKK and GDPR:

Responding to your demo request:Contacting you, scheduling the demo and setting up your trial. Legal basis: steps taken at your request before entering into a contract.
Confirmation email:Sending you a single email confirming we received your request. Legal basis: our legitimate interest in acknowledging your request.
Product updates:Sending occasional news about YachtBooks. Legal basis: your explicit consent, given by the optional checkbox on the form. You can withdraw it at any time via the unsubscribe link or by emailing us.
Site analytics:Understanding how the site is used so we can improve it. No cookies are set and no profile of you is built. Legal basis: our legitimate interest in measuring how the site is used.
Security and operation:Keeping the site available and protecting it from abuse. Legal basis: our legitimate interest in running a secure website.

4. Who processes your data for us

We do not sell personal data. We share it only with service providers that process it on our behalf and on our instructions:

HubSpot (customer relationship management)

Stores your demo request and our follow-up with you. HubSpot, Inc., United States.

Resend (email delivery)

Sends the confirmation email to the address you entered. Resend, Inc., United States.

Vercel (hosting)

Hosts this website and keeps short-lived server logs. Vercel, Inc., United States.

Plausible Analytics (site statistics)

Produces cookie-free, aggregated visitor statistics. We run it ourselves on a server rented from Hetzner Online GmbH in Germany. Requests to it pass through Cloudflare, Inc., United States.

5. Transfers abroad

The providers above process data outside Türkiye. Under Article 9 of the KVKK this is a transfer abroad, which we base on the standard contract published by the Personal Data Protection Board, and where the GDPR applies, on the European Commission's Standard Contractual Clauses. We may also disclose data where the law requires it or to protect our rights.

6. How long we keep it

We keep data no longer than its purpose requires:

  • Demo request data: for as long as we are in contact about your request and up to 24 months after our last contact. If you become a customer, the application's privacy policy applies from that point.
  • Marketing consent: until you withdraw it. We keep a record of the consent itself as evidence for as long as the law requires.
  • Server logs: up to 30 days.
  • Analytics data: kept only as aggregated statistics that do not identify you.

7. Cookies

This website sets only the following cookie. Our site analytics do not use cookies.

NEXT_LOCALE:Remembers your language choice. Functional, kept for 1 year.

8. Your rights

Under Article 11 of the KVKK and, where applicable, the GDPR, you have the following rights regarding your personal data:

Right to Access:Learn whether we process your data and request a copy of it.
Right to Rectification:Request correction of inaccurate or incomplete data.
Right to Erasure:Request deletion of your data where its purpose no longer applies.
Right to Object:Object to processing based on our legitimate interests.
Right to Withdraw Consent:Withdraw marketing consent at any time, without affecting earlier processing.
Right to Complain:Lodge a complaint with the Personal Data Protection Authority (kvkk.gov.tr) or, under the GDPR, your local supervisory authority.

9. Changes to this notice

We may update this notice from time to time. We will post the new version on this page and update the effective date. If a change materially affects how we use data you have already given us, we will tell you by email where we can.
